Create a booking via the Webbooker

This article explains how to create a booking on MotionTools as a Customer and as an Admin via the Webbooker.

Overview


Create a basic booking

You can use the Webbooker either as a customer user directly or as an admin user to create bookings on behalf of customers. For this demonstration, we'll show how to use it as an admin user.

Go to the Bookings page on the Webbooker and click the + Create button.

Only as admin: Search and select a customer account.

Define the first stop by entering an address and setting the earliest and latest arrival times. Setting the latest arrival time is optional. For immediate bookings, use the Now option. For future bookings, select your preferred date and time.

By default, the first stop is set as a pickup location and the second stop as a drop-off location, though you can choose these according to your needs. You can add more stops by clicking on the + Add stop button. How many stops can be added, depends on the configuration of the offered service.

Next, choose from the available booking attributes such as the vehicle type, or if available, the type of service. The availability of attributes of a booking would depend on the configuration of the ‘Capabilites’ feature. Learn more about this here.

If pricing and payment method is enabled you can select a payment method. If invoice address is enabled you can optionally fill in an invoice address.

Click Book.


Optional data you can add

Contact details

The stop contact details will be visible in the Driver app, and the driver can call or send text messages to the stop recipient. This information can be the same as the Customer’s or a different contact. Read here for more information.

Additional information

You can fill in additional information on stop level and booking level. Information added to a stop only applies to that stop, while booking-level information relates to the entire booking and is not displayed at the individual stops. You can add a Note, Documents as well as Images. This information will also be visible in the MotionTools Driver App. Read here for more information.

Metadata

This feature is not available by default. Please reach out to our Customer Success team if you’d like to enable it. You can also read more about it here.

This field allows you to add Metadata such as an external order ID. You can add Metadata on stop level and on booking level (scroll down to Extra detail). Information added to a stop only applies to that stop, while booking-level information relates to the entire booking and is not displayed at the individual stops.

To add Metadata, expand the Metadata field and click on + Add row. Type in a key and a value.

Voucher code

This feature is not available by default. Please reach out to our Customer Success team if you’d like to enable it.

To add a voucher code to a booking, enter your voucher code in the designated field. If the voucher is valid, it will be applied to your booking, and the final price will automatically reflect the discount from the voucher. Please note that only one voucher can be used per booking, and the discount will be shown in the booking summary before you confirm the booking.
