The glossary explains the key MotionTools terminology, products, and features.

A

Admin

An Admin is the person who sets up and manages the MotionTools Account on behalf of the Operator. Admins have access to all data and configuration options, can act on behalf of Customers, and can dispatch on behalf of Organization managers.


B

Booking

A Booking is a request from a Customer to complete a Service. Each booking may include one or multiple Stops and optionally Packages. A Stop is a task to be completed at a specific location, while a Package is an individually trackable item. Bookings can be created either directly through MotionTools using the Webbooker or through third-party systems such as online shops.

Booking Manager

The Booking Manager is part of the Dashboard and helps dispatchers to manage all incoming Bookings. By ensuring accurate data entry from the start, it creates a solid foundation for subsequent processes like route planning, dispatching, execution, and invoicing.


C

Capability

A Capability is a service attribute—such as Vehicle Type or Priority—that allows Operators to customize the Services they offer to Customers. When creating a Booking, the selected capability options determine both the available drivers and the booking price.

Customer

A Customer requests Bookings directly in MotionTools or indirectly via a third-party system like an online shop.

Customer Portal

The Customer Portal is a self-service portal for Customers. It supports the whole journey from Booking creation, editing, and tracking, to accessing proof of completion.

Custom Content

Custom Content is highly customizable content such as links or checklists that you can attach to a booking and then show in the Driver App and the Dashboard.


D

Dashboard

The Dashboard is a web application that allows several types of users to get certain jobs done. It enables Admins to manage their business, Org Managers to oversee their Organizations, Dispatchers to handle Bookings and Tours, and Customers to create Bookings.

Dispatcher

A Dispatcher is the person responsible for dispatching using either the Admin or Org Manager role of MotionTools. They use the Dispatch Tools in the Dashboard, which is a set of features helping with efficient Dispatching.

Dispatching

Dispatching is the activity of dealing with all incoming Bookings, planning them into Tours, and handing them over to Drivers as well as re-planning Tours as part of the ongoing operations.

Dispatch Tools

The Dispatch Tools are a set of features that help dispatchers manage operations efficiently. They allow bundling bookings into tours and assigning them to drivers. When used with the driver app, they provide real-time data and insights.

Driver

A Driver is a field worker who completes Tours using the MotionTools Driver App. Each driver belongs to one Organization, supports various Capabilities, and receives tour assignments either automatically or manually from Dispatchers.

Driver App

The Driver App helps to track the work time and location of a workforce in real-time. It also provides a guided experience to navigate efficiently, supports configurable workflows and checklists, and allows to collect proof of completion.


F

Fleet

A Fleet is a set of vehicles that can be managed via the Dashboard for various purposes, such as executing a Booking as a driver or renting a vehicle as a customer. If enabled, the Fleet can be accessed through main navigation in the dashboard and it will display all available vehicles regardless of vehicle type or activity status. Fleet can be sorted by vehicle status, organization or a provider.

Fleet Manager

The Fleet Manager helps Users to manage and interact with a fleet of vehicles in the Dashboard and help Drivers to perform Bookings via the Driver App by giving them access to a vehicle.


H

Hub

A Hub is a specific location (e.g. a warehouse) used to store items such as Packages and usually serves as the central location of operations.


L

Location

A Location consists of a geo-location (lat/lng) and may include an address. Locations appear throughout the system—in driver locations, vehicle locations, or as part of a Stop. When a location is defined by an address, it typically contains a street name, house number, postal code, city, and optional contact information.

  • Driver location: The real-time location of a driver tracked through the Driver App, based on their device's current position

  • Vehicle location: The last known location of a vehicle managed through the Fleet Manager, as described in the API spec. Vehicle tracking is only available when using a compatible telematics system.


M

Member

A Member is a User that belongs to the Operator’s MotionTools account either as an Admin or as an Org Manager of an Organization.

Metadata

Metadata can be added on Bookings, Booking Stops, Packages, Users, Service Areas, and Zones to include custom external data (additional information) and to link between systems. Metadata is mainly visible to Admins only, but in some cases also to Customers.


O

Operator

An Operator is a Customer of MotionTools, who uses MotionTools as the Operating System for their business.

Ops configuration

The Ops Configuration in the Dashboard allows an Operator to configure some of the operational rules. It allows to define scheduling modes, booking parameters, opening hours, and more.

Organization

An Organization is a group of Drivers that belong to either an internal team or an external partner, managed by an Org Manager.

Organization Manager

An Org Manager is responsible for managing the Bookings and Drivers of one or multiple Organizations that they are a member of. They primarily use the Dashboard and have fewer permissions than an Admin.


P

Packages

A Package is an individually trackable item that typically has its own properties like size or weight, comes with a scannable label, and can be added onto a Stop as a pickup or drop-off task. Drivers can scan packages at Stops to confirm the pickup and delivery, and admins can flexibly route packages using Tours.

Price Matrix

The Price Matrix allows you to offer flexible pricing that reflects your business structure, logic, and goals. It defines prices for all possible combinations of Capabilities and Service areas and is set for each Service. A price matrix has to be defined in the Dashboard as an Admin when the pricing feature is enabled.


R

Route Planner

The Route Planner helps you to identify eligible Bookings and plan many Tours at once, automatically, while respecting your specific optimization criteria.


S

Saved Places

Saved Places are locations stored with a custom name in the address book. When adding a Stop in the Route Planner or Webbooker, they appear as a suggested location and automatically fill in the relevant information. A Saved Place can include contact details and be marked as a Hub.

Service

A Service is what an Operator offers their Customers or requests from their Drivers. Any Booking that a customer requests or any Tour that is assigned to a Driver is of a specific service. Services have specific configurations e.g. how many Stops they have, what kind of Capabilities can be booked, and how they are dispatched.

Service Area

A Service Area defines the geographical boundaries where a business operates. You can create a service area by either uploading a .json file or manually creating it in the Dashboard. A Tenant can create unlimited service areas. All service areas can be found in Dashboard Settings > Service areas.

Stop

A Stop represents one or multiple tasks to be completed at a specific location. Each stop can include a primary task—such as picking up or dropping off a package—and secondary tasks like completing checklists or collecting proof of completion. Customers and Admins can define stops as part of a Booking, and Dispatchers can plan them into Tours. When Dispatchers add stops directly to a Tour without a corresponding Booking, these are called custom Stops. Drivers carry out all stops using the Driver App.


T

Task

A Task is some type of work that needs to be completed. Tasks in MotionTools come in many variations, with the main ones being Stops (location-based), Bookings (customer-facing), and Tours (driver-facing).

Tenant

A Tenant is a dedicated MotionTools account that an Operator can customize to fit their business needs.

Tour

A Tour is a set of Stops assigned to a driver. These stops are typically merged from multiple Bookings and may include custom stops that exist only within the tour. Tours are usually route-optimized to maximize driver efficiency.


U

User

A user is a known and authenticated person on the MotionTools platform who signs in with an email address and password. Each user belongs to a Tenant and is assigned a single role that determines which features and data they can access. Every user must have a unique email address.


V

Vehicle configuration

Tenants can define standard configurations for individual vehicles that determine how each vehicle operates. These settings include required driver's license classes, vehicle display icons, and end-of-booking workflows (such as completion checks and charging verification).


W

Webbooker

The Webbooker is a web-based booking system for creating and defining new Bookings. Admins and Customers can use it to specify pickup and drop-off locations, Service type, booking time, and duration. The Webbooker also provides payment options based on the tenant's selection and pricing schemes configured in the Price Matrix.

Webhook

Webhooks are server-to-server notifications that occur when specific events happen. They can trigger actions in third-party systems, such as accounting or commerce platforms. Webhooks can also send notifications like emails to designated recipients.
