Introduction Capabilities

This article explains what Capabilities are in MotionTools, where and how they are used, and how you can customize them.

Introduction

Capabilities let companies give customers booking options such as vehicle type, goods type, or task type. These choices can affect the booking price and how it is dispatched. When Bookings are added to a Tour, Capabilities help match the Tour with the right driver.

The role of capabilities

Since capabilities are helping to characterize a service, they are specifically visible in the Webbooker. In the Webbooker customers can select booking options when requesting a service. Here you will see the name of the capability type, its values (also called options) that each have a name and an icon/illustration, and optionally additional information explaining the details of an option.

In the Webbooker, capability options can be shown in different layouts: Classic, Vertical Stack, or Dropdown. Each layout can also display extra details. For more information, see the Webbooker article.


Impact on dispatching processes

Using capabilities to find eligible drivers

Capabilities can influence which drivers get assigned to a tour through the “affects matching” setting:

  • On: Only drivers with the requested capability (or higher) are eligible. Example: a Medium truck request can go to drivers with Medium or Large trucks, but not Small ones.

  • Off: Capabilities only adjust pricing or add extra booking details, without limiting driver eligibility.

Impact on scheduled tour requests

By default, requested capabilities don’t impact a driver's eligibility for scheduled tours. This means that a driver will receive a scheduled tour request even if they currently don't have matching capabilities. However, if your drivers always have the same capabilities, for example, each driver uses the same truck every day, you can enable this filtering. For that, please reach out to our support team.


Setting drivers’ capabilities

Drivers choose their capabilities each time they go online in the Driver App. This ensures they only receive tours that match their qualifications. Typically, the only capability they select is the vehicle type they are driving. See Getting started as a driver for details.

In some cases, it’s important that drivers don’t manage this themselves. If capabilities influence dispatching, the wrong settings can cause misrouting, incorrect ETAs, or earnings miscalculations. The Managed capabilities feature lets dispatchers control driver capabilities instead. Admins and org managers can set capabilities on behalf of drivers. This can also be configured so org managers are excluded, or so drivers cannot override the dispatcher’s choices.


Creating and customizing capabilities

Each new tenant created on MotionTools has a pre-defined set of capabilities enabled. However, capabilities and their options can be customized to better suit service offerings:

  • Add or remove Capabilities

  • Use custom images

  • Translate the Capability names

  • Choose how Capabilities are displayed in the Webbooker

  • Show additional information and details

Managing capabilities on the Dashboard

Although you can’t create or customize a capability without talking to our support team, you can enable or disable capabilities in the Dashboard settings. Capabilities are part of Booking and Tour Services, and you can find the list of currently enabled capabilities by going to Settings → Opening the Booking services or Tour services section → Clicking on the Service you want to modify → Opening the Capabilities Tab.

At the moment, it is required that at least one capability type (e.g. Truck Size) and one capability value (e.g. Large Truck) must be enabled.

If your tenant has payments enabled, remember to update the price matrix after enabling a previously disabled capability option. If a customer tries to create a booking with a capability option for which the prices are not defined, they will receive an error message.
