This article provides an overview of how our Booking Manager module works. Overview
Introduction
The Booking Manager is part of the MotionTools Dashboard and helps dispatchers manage all incoming bookings efficiently. By ensuring accurate data entry from the start, it creates a solid foundation for subsequent processes like route planning, dispatching, execution, and invoicing.
Create bookings
There are multiple ways to create bookings, either manually or automatically. You can e.g. create bookings through our Webbooker, either directly or on behalf of a customer, or through third-party systems like online shops. Read our Quickstart: Options for creating Bookings article to learn more.
View existing bookings
The Bookings page in the Dashboard is the core of the Booking Manager. Here you can view all incoming bookings in both list and map views, and create or import new ones. The page also serves as a system of record where you can search through past bookings.
By showing all of the relevant booking and stop information - such as the booking status, the address of a stop, the name of the customer, the needed vehicle type or important additional information - you have a transparent base for all dispatching activities.
When clicking on a booking in list view (or on the details button on a booking card in map view) you can open up the booking details page to see more details, such as the timeline of a booking.
You can use various display and filtering options to quickly find specific bookings in the system.
Edit bookings
MotionTools allows updating various stop attributes on existing bookings. The availability and permissions for editing depend on the user's role, the stop attribute itself, as well as the stop and booking status. In general, you can edit the stop’s location, contact details, additional information, arrival time, metadata, properties and custom content. Read the Editing stop details article to learn more.
Calculate prices & quotes
Pricing enables an Operator to automatically calculate prices for bookings based on a certain set of criteria such as distance, time, or service levels. Prices typically get created upfront and will be added to the booking. The variables for the price calculations are defined in a price matrix. Dispatchers can also manually adjust prices or directly as part of the booking creation in case they book on behalf of a customer. Invoice support
While MotionTools can generate a transactional PDF receipts that are downloadable in the Dashboard, we suggest outsourcing the actual invoicing to your accounting tool. MotionTools can be easily integrated with a wide range of invoicing and accounting tools, making sure you can speed up the process of creating weekly or monthly grouped invoices towards customers and create reports for accounting purposes.
