The glossary explains the key MotionTools terminology, products, and features.
A
Account
What a person or a business signs in to on the MotionTools platform, together with its settings.
Admin
The person who sets up and manages the MotionTools account on behalf of the Operator. Admins have access to all data and configuration options, can act on behalf of Customers, and can dispatch on behalf of Organization Managers.
B
Booking
A request from a Customer to complete a Service. Each booking may include one or multiple Stops and optionally Packages. Bookings can be created either directly through MotionTools using the Webbooker or through third-party systems such as online shops.
Booking Manager
The part of the Dashboard that helps Dispatchers manage all incoming Bookings. By ensuring accurate data entry from the start, it creates a solid foundation for route planning, dispatching, execution and invoicing.
C
Capability
A booking option such as vehicle type, type of goods or task type, which lets an Operator offer choices that match their Service offerings. The capabilities selected on a Booking can affect its price and how it is dispatched. When a booking is dispatched into a Tour, its capabilities usually carry over, so they can be considered when finding a suitable Driver.
Custom Content
Customizable content such as links or checklists that you can attach to a Booking and then show in the Driver App and the Dashboard.
Custom stop
A Stop added directly to a Tour without belonging to a Booking, used to extend a Driver's route to an independent location.
Customer
A User who requests Bookings directly in MotionTools or indirectly via a third-party system such as an online shop.
Customer Portal
A self-service portal for Customers. It supports the whole journey from Booking creation, editing and tracking, to accessing proof of completion.

Dashboard
The web application in which several types of users get their work done. It lets Admins manage their business, Organization Managers oversee their Organizations, Dispatchers handle Bookings and Tours, and Customers create Bookings.
Dispatch Tools
A set of features in the Dashboard that help Dispatchers manage operations efficiently. They allow bundling Bookings into Tours and assigning them to Drivers. Used together with the Driver App, they provide real-time data and insights.
Dispatcher
The person responsible for Dispatching, using either the Admin or the Organization Manager role. They work with the Dispatch Tools in the Dashboard.
Dispatching
The activity of dealing with all incoming Bookings, planning them into Tours and handing them over to Drivers, as well as re-planning Tours as part of ongoing operations.
Driver
A field worker who completes Tours using the Driver App. Each driver belongs to one Organization, supports various Capabilities, and receives tour assignments either automatically or manually from Dispatchers.
Driver App
The mobile app that tracks the work time and location of a Workforce in real time. It guides Drivers through their route, supports configurable workflows and checklists, and collects proof of completion.

Extension
An add-on capability that sits alongside the core Features and is not part of the base subscription. Extensions are enabled per account.

Feature
A core capability of the MotionTools platform.
H
Hub
A Places such as a warehouse, used to store items like Packages, which usually serves as the central location of operations.
L
Location
A geo-location (latitude and longitude) that may include an address. Locations appear throughout the system, as driver locations, vehicle locations, or as part of a Stop. An address typically contains a street name, house number, postal code, city and optional contact information.
M
Member
A User who belongs to the Operator's MotionTools account, either as an Admin or as an Organization Manager of an Organization.
Metadata
Custom external data that can be added to Bookings, Stops, Packages, Users and Service Areas to carry additional information and to link between systems. Metadata is mainly visible to Admins, and in some cases also to Customers.
O
Operating System
MotionTools as a whole: the software a logistics business runs its day-to-day operations on.
Operator
A MotionTools customer who uses the platform as the operating system for their transportation and logistics services.
Ops Configuration
The area of the Dashboard in which an Operator configures operational rules such as scheduling modes, booking parameters and opening hours.
Organization
A group of Drivers belonging to either an internal team or an external partner, managed by an Organization Manager.
Organization Manager
The person responsible for managing the Bookings and Drivers of one or more Organizations they belong to. They primarily use the Dashboard and have fewer permissions than an Admin.
P
Package
An individually trackable item that typically has its own properties such as size or weight, comes with a scannable label, and can be added to a Stop as a pickup or drop-off task. Drivers scan packages at Stops to confirm pickup and delivery.
Pickable tour
A Tour that is ready to start and is offered to every eligible Driver in the Driver App as a live list. As soon as one driver picks it, it disappears from the others' lists, which prevents double assignment.
Places
Locations stored with a custom name in the address book. When adding a Stop in the Tour Planner or Webbooker, they appear as a suggested location and fill in the relevant information automatically. A Place can include contact details and be marked as a Hub.
Price Matrix
A pricing model that defines prices for all possible combinations of Capabilities and Service Areas, set for each Service. It is defined in the Dashboard by an Admin when the pricing feature is enabled.
Proof of completion
A record on a Stop confirming that goods were delivered or a service was provided as agreed. MotionTools supports a signature, a note and photos, configurable per Service and per stop type.
R
Route
The order in which the Stops of a Tour are visited and the path a Driver follows between them. A route can be arranged by hand or optimized automatically. A tour defines what a driver does, and the route defines how they do it.
S
Scheduled booking
A Booking whose service is set for a specific future time, useful for planned or next-day deliveries. The Customer chooses from the time slots your configuration offers, which determines when the service begins.
Service
What an Operator offers their Customers or requests from their Drivers. Every Booking a customer requests and every Tour assigned to a driver belongs to a specific service. Services carry their own configuration, such as how many Stops they have, which Capabilities can be booked, and how they are dispatched.
Service Area
The geographical boundaries within which a business operates. A Tenant can create an unlimited number of service areas, either by uploading a .json file or by drawing one in the Dashboard.
Stop
One or more Tasks to be completed at a specific Location. Each stop can include a primary task, such as picking up or dropping off a Package, and secondary tasks like completing checklists or collecting proof of completion. Stops added directly to a Tour without a corresponding Booking are called custom Stops.
Support Team
The MotionTools team to contact for help with your Account, your configuration or a Feature.
T
Task
A piece of work that needs to be completed. Tasks come in many variations, the main ones being Stops (location-based), Bookings (customer-facing) and Tours (driver-facing).
Tenant
A dedicated MotionTools account that an Operator can customize to fit their business needs.
Tour
A set of Stops assigned to a Driver. These stops are typically merged from multiple Bookings and may include custom stops that exist only within the tour. Tours are usually route-optimized to maximize driver efficiency.
Tour Planner
The feature that identifies eligible Bookings and plans many Tours at once, automatically, while respecting your optimization criteria.
U
User
A known and authenticated person on the MotionTools platform who signs in with an email address and password. Each user belongs to a Tenant and is assigned a single role, which determines the features and data they can access. Every user must have a unique email address.
V
Vehicle configuration
The standard configuration a Tenant defines for individual vehicles, determining how each vehicle operates. It covers required driver's license classes, vehicle display icons and end-of-booking workflows such as completion checks.
W
Webbooker
A web-based booking form for creating new Bookings. Admins and Customers use it to specify pickup and drop-off locations, Service type, booking time and duration. It also offers payment options based on the Price Matrix.
Webhook
A server-to-server notification sent when a specific event happens. Webhooks can trigger actions in third-party systems such as accounting or commerce platforms, and can also send notifications like emails to designated recipients.
Workforce
The Drivers an Operator sends out to carry out Tours, whether employed directly or through a partner Organization.
