Configure your business

Before you can start your operations you need to set up your tenant and configure your business.

To get started read the article Configure your business and/or go through the articles in the Business Setup collection.


Onboard key people

Next, you should onboard the key people in your business, meaning your Dispatchers and Drivers. Optionally you can also onboard Organization Managers and your Customers. To help them get started effectively, you should first understand how these different roles work. Below, we've compiled a list of getting started articles for onboarding each type of user:

Onboard a Dispatcher

To efficiently manage your operations you should invite your dispatchers in the role of an Admin. Admins can manage the whole operations alongside the settings of your tenant.

Which user role should my dispatcher have?

  • Admin Role: If a dispatcher should be able to oversee the complete operations of a business and should be able to manage customers and partners

  • Org Manager Role: If a dispatcher should only manage one of the service areas and only some of the driver workforce

Onboard a Driver

To run any type of fleet-based services, you need a workforce to do the job. We call these workers drivers, and it's crucial to onboard them to MotionTools.

Onboard an Organization Manager

If you run a larger business and want to divide the management of organizations, service areas, and drivers among different people, you should onboard them as Organization managers.

Create/Onboard a Customer

To create a booking, you first need to add at least one customer in MotionTools, since all bookings must be associated with a customer.

You can also enable customers to create and manage their own bookings by giving them access to the Customer Portal.


Import your master data

To get started faster and save some time on manual work you can bulk import your master data into MotionTools:

  • Customer Data: Import your customer base with their contact details

  • Driver Data: Transfer information about your drivers, including their contact details and capabilities

  • Saved Places: Import frequently used locations like warehouses, hubs, and regular customer addresses

  • CSV File Upload: The simplest method for bulk importing data directly through the dashboard

  • API Integration: For automated, real-time data synchronization with your existing systems

  • Assisted Migration: The MotionTools support team can help with complex data migrations

Best practices for importing data

  • Clean up and validate your data before importing

  • Make sure you use consistent formatting

  • Test with a small data set before performing full import


Get started with your operations

The typical workflow starts with a new booking, tour creation, driver assigning and finally the execution of that tour in the driver app. You can find a more in-depth description of a typical workflow in the Introduction to the MotionTools Operating System article. Create bookings

First, you create and/or import bookings in MotionTools (make sure you added at least one customer beforehand):
